Conference kits

Conference kits in South Africa

Delegate packs that make it home. Not the hotel bin.

Delegates at a conference registration desk collecting violet caps, totes and welcome kits.

You get a kit that does its job on the day and keeps doing it afterwards: the bag delegates carry between sessions, the bottle they refill, the notebook they actually open, the cap or tee they wear on the last night. Designed as one set, branded consistently and packed so that handing them out is the easy part.

We plan the contents around your delegates and your agenda, source and brand every piece, then pack and label the kits ready for registration. Big on apparel? Our promotional apparel slots in. Need something more considered for speakers and sponsors? That's corporate & executive gifting.

Brief us

What goes in the kit.

Useful first. Branded second. Pretty, always.

The bag

Tote or backpack, chosen for what delegates will carry: laptop, notebook, lunch, the lot. Carried long after the lanyard comes off.

Drinkware

A bottle or cup that lives on the desk during sessions and at home afterwards.

Apparel

A cap, tee or hoodie for the social evening or the team photo. Sized properly, so it gets worn.

Accessories and stationery

Notebooks, pens, lanyards, badges and the small, useful things that make a kit feel complete.

Packing and labelling

Kits assembled, labelled by delegate group or size, and ready for the registration desk.

How it works

How a kit job runs.

Same five steps. Fewer late-night emails.

  1. You brief us

Tell us about the event: who's coming, how many, the dates, and what you want them to walk away with.

  2. We listen

We ask about the agenda, delegate groups, sponsor requirements, the brand rules and the budget range.

  3. We design and sample

We propose the kit, mock up each piece, then build a sample kit you can hold and approve before the run.

  4. We make

Each piece is produced and branded, quality checked, then assembled into kits.

  5. We deliver

Kits packed and labelled by group, delivered to the venue or your office ahead of the event.

What to put in your brief.

Even a draft agenda helps. Send what you have.

  • Delegate numbers

A range is fine, plus any groups that need different kits: speakers, sponsors, VIPs, staff.

  • Event dates and deadline

When the event runs and when kits must be at the venue.

  • Artwork files

Event branding, your logo in vector format, and sponsor logos if they're going on the pieces.

  • Sizes

If apparel is in the kit, the size run you expect or sizes per delegate.

  • Delivery location

The venue, your office, or both, and who's receiving.

What moves the price.

Every kit is its own brief, so we don't publish prices. These are the levers.

Quantity
Delegate numbers and how many kit variations you need.
Decoration method
How branding is applied to each piece, and whether sponsor logos join yours.
Contents and materials
What goes in the kit and the quality of each piece.
Packaging
Loose pieces, assembled kits, or assembled and labelled per delegate.
Timing
Kits involve several pieces coming together. More lead time means more choice.

Questions we get asked.

Not answered here? Tell us what you're planning and we'll talk it through.

Brief us
Can different delegate groups get different kits?

Yes. Speakers, sponsors, VIPs and general delegates can each get a variation, planned as one family so the event still looks like one event.

Do you assemble and label the kits, or just supply the pieces?

Either. Most clients want kits assembled and labelled so the registration desk runs smoothly. Tell us how your check-in works and we'll pack to match.

Can sponsor logos go on the kit alongside ours?

They can. Send the sponsor artwork with your brief and we'll show you placement options on the mock-ups.

Delegates to kit and a date in the diary?

We're just a brief away.
